MEMBERSHIP MEETING MINUTES
Cinnamon Morning B&B, Albuquerque, NM

May 2, 2008

I.  CALL TO ORDER at 12:45 pm

II.  ROLL CALL – Sign-in sheet attached. Introductions made around the room. 18 inns represented.

III.  APPROVAL OF AGENDA. Motion made to approve agenda as presented; Seconded, Carried.

IV.  APPROVAL OF NOVEMBER 2007 MINUTES.  Reminder that membership is requested to read minutes prior to meeting, which are available online.  Motion to Approve w/no corrections; Seconded, Carried.  

V.  REPORTS

A.  MEMBERSHIP REPORT prepared by Becky O’Connor, Membership Chair and presented by Sarah Dolk as follows:

  • As of May 6, we currently have 55 NMBBA member inns and 5 Associate members.
  • There are four member inns in Taos which have changed hands recently and have new owners who are welcomed into the Association: Cottonwood / Shantal and Brantly Goodwin; Hacienda del Sol / Gerd & Luellen Hertel; La Posada de Taos / Sandy Nachman; and San Geronimo Lodge / Charles & Pam Montgomery. Two of these inns have renewed and two have not at this time.
  • We have two new Associate Members:  Caryl Trotter and Don Bonney – Innsitters of the Southwest, LLC, and Jeff Logan – InsideOut Solutions.

All members are asked to let Becky know if they hear of any inn changing hands, etc.  Leone Wilson announced that Desert Willow is closing.

B.   STANDARDS REPORT presented by Sue Gregory for Lisa Kwas. Sue handed out a Standards Report and reported:

  • No complaints for 2008 and no gift certificates handed out.
  • The most common items in non-compliance this past year were nightlights, 911 stickers and pillow protectors.
  • All inns are encouraged to print the inspection form from the NMBBA website and look it over before their inspection.
  • A lot of latitude was given this year to inns getting their paperwork into Lisa, but since this will be the second year in the new system it is hoped that everyone will be more expedient. 
  • Documentation (current fire inspection, health/food inspection, business license, proof of insurance – all current through 2008) should be sent to Lisa during the month of July when dues are paid.

A list was handed out listing the 16 inns to be inspected in 2008.


C.  MARKETING REPORT was handed out and presented by Sarah Dolk,            Marketing Chair. Sarah explained that we went with pretty much the same            campaign because it is working so well.

  • We are out of directories. Reprint will be at end of May or beginning of June. A listing of member inns that corresponds w/printed directory is available for download from the NMBBA web site. This list is always up to date with any changes submitted. Any member who has changes should e-mail them to info@nmbba.org so the list can be updated.
  • At the end of May, Sarah will send out the info for the 2009 co-op ads in the NM Vacation Guide, Santa Fe Visitors Guide and Albuquerque Vacation Planners. She reported that 42 inns participated last year at a cost of $450 each and recommends that everyone participate.
  • Reminded everyone to send an e-mail to info@nmbba.org if they wish to receive reader response names from the Vacation Guide, Sunset or AAA Texas.
  • Sarah submitted the final request for the Co-Op Grant monies from the Department of Tourism that were awarded NMBBA last year and we should have a check from them soon. By the end of May she will have submitted the Fiscal Year 2009 Grant Application.
  • Mindy reported that SantaFe.com is the most visited site for Santa Fe and she is working on a co-op advertisement.
  • Sarah asked for a volunteer to head up the Ski NM Co-op Ad. Kara Grant of Heritage House volunteered.
  • Walt recommended advertising in the Inns of North American publication. Sarah will talk to them and consider putting together a co-op ad. It is a magazine for the serious inn-goer.
  • Casa de Suenos, Marlene, requested doing a co-op ad for the El Paso area.  Mindy asked her to put together a package to present.


D.  TREASURER'S REPORT presented by Steve Hyatt.

Steve handed out a Treasurer Report reflecting Fiscal year to date, which is July 1, 2007 through May 2008, and pointed out that he estimates the Association will have $10,500 excess monies at the end of the fiscal year. He reported that he feels very good about the cash flow and recommends that the Association do some more aggressive marketing. Steve reviewed the 2007 final budget versus the 2007-08 YTD Budget and the Balance Sheet for Fiscal Year 2008 as of 5/6/8. He handed out a third page which he explained just shows the income/expense in a different format.

Steve explained that the total number of inns is decreasing and this can affect our funding because we get so much for the Department of Tourism because we      represent the entire state and not just “an event”. He also encouraged inns to become members of TANM who represent tourism by providing education and lobbying.

VI.  GUEST SPEAKERS

  • Jeff Logan of InsideOut Solutions introduced.
  • Sharon Schulta from TANM was introduced and briefly spoke about the benefits of belonging to TANM and their objectives, and encouraged inns to participate in the Trainee American Program.
  • Nancy Renner talked about the TANM Conference in Roswell she attended. She told the group that the international traveler likes to “experience” the Southwest, i.e. Sky City Acoma experience. She recommended that everyone make sure that their inn is on the NM.org website.
  • Jay – PAII CEO was introduced and spoke briefly to the group regarding the new PAII vision and strategy. He reported that it is a priority to work better with allied associations such as NMBBA. He discussed the fact that there has not been a B & B economic survey and he has developed a standard survey to enable inns to compare themselves to other inns nationwide. He hopes to improve public relations to promote B & B’s.  It is one of his goals that PAII will become more of an information broker. PAII just published a trade magazine and he brought copies to hand out. In the up-coming year, PAII will be launching certifications for different areas, i.e., www.knot.com

 

VII.  OLD BUSINESS

VIII.   NEW BUSINESS

  • Next meeting is November 5 & 6 in Arroyo Seco, NM
  • Walt asked about the status of the New Mexico Magazine B & B Cookbook and             whether they will reprint with corrections when they run out.
  • Dallas gave a positive testimonial for the new Associate Members, Caryl Trotter and Don Bonney, Innsitters of the Southwest.

 

IX.    Motion made to adjourn the meeting; seconded; carried. Meeting adjourned at 4:30 pm.
